The subscriber file is the formal document containing the data of the organization and those of the people who are part, within an organization requesting AOC certificates, of the entire application and delivery process of the certificates.

The subscriber card allows:

  • Assign the necessary roles for the management of certificates.
  • Keep the organization updated according to audits and specific conditions of service.
  • Facilitate communication between the body and AOC for any management related to certificates.

The file can be sent for three reasons:

  1. Initial creation: Registration as a body in the AOC Certification Service. If this is your case, check Sign up for the digital certification service of the AOC (First sending of the subscriber file).
  2. Change of data: In the event that the data of the organization or of the people who are part of the certificate delivery process within the entity have changed.
  3. Forwarding 24 months: According to the specific Conditions of the Digital Certification Service of the AOC. Organizations using the service must send the corresponding "Service File" every 24 months, even if there are no changes.

Below we explain the steps to send the form either because the data has changed or because of the sending that needs to be done every two years.

It is very important to bear in mind that all the people who will be involved in the process must be listed on the file. If you want to add someone to the process, it is essential that you include the rest of the people who were already there before. If you stop adding someone who was listed there, the roles they had up to that point will be removed.

Follow these steps to fill out the form:

1. View current roles via EACAT (user manager)

To ensure the current roles, it is most reliable to look at the user permissions in EACAT.

You need to access EACAT > Settings > Services.

Search for the service "CAOC - Digital certification service", the total number of users with permissions will appear. Click the service name.

The list of users with permissions will display the roles that each user has. Service permissions, except for publisher and subscriber sheet signer, can only be assigned from the AOC. That is why the manager will display them in gray and will not be able to select them.

2. Go to EACAT Procedures> Lender Consortium AOC> AOC - Digital certification service > Subscriber file (EACAT).

It is necessary to have the "AOC Service Edition - Digital Certification Service" role to be able to access the procedure. It will also be necessary to assign the "Signador subscriber card" permission of the same service to the person who will sign the sending of the file, if there is no person with this role.

3. Fill in the subscriber form

First of all, you must indicate whether it is a "Data exchange" or a "Forwarding 24 months".

This section contains the organization's data. It is important that you notify any changes in the data through the Subscriber File.

The legal name of the entity (It must be the same as that stated in EACAT): It is important that in this section you indicate the legal name of the entity, which is stated in EACAT. The file data is automatically loaded into the system. If the name indicated in the file is not the same as that of EACAT, the requests for digital certificates will be automatically rejected by him if there is no match.
